What a normal shipping day looks like with the system running it. Times are just an example.

9:00 · open the queue

Orders from overnight are already in; the system pulls from Shopify every 10 minutes on its own. The manager opens ⚠ Needs attention first: it lists anything stuck from yesterday (parcels that never left, orders aging without confirmation, failed courier actions). Deal with those before they get worse.

9:30 · support confirms orders

The support person works the confirmation pills: call/WhatsApp COD customers, mark each order Confirmed, No response, Hold (with a reason) or Cancel (with a reason). Confirmed orders flow to the Ship queue automatically; held and cancelled ones are locked out of shipping: no accidental dispatches.

(Brands that don't do confirmation calls set the policy to "off" or "COD only" and skip this step.)

10:30 · assign couriers, print, pick

On the Ship tab, the manager selects the morning's orders and presses Assign AWB. The screen flips to a live batch page: the system talks to Shiprocket order by order in the background; failures are listed with reasons and retryable alone. Then Generate labels (PDFs, ready to print) and Pick list (a printable tally of every piece to pull from the shelves).

A picker claims the pick list. Once claimed, nobody else can work it, and none of its orders can appear on another list.

11:00 · pack, with the checklist

At the packing station: scan an order number or AWB in the search bar and the order opens. The packing card lists every item with its colour and personalisation. The packer confirms each line (scan the item barcode or tap ✓); Mark packed unlocks only when everything matches. Wrong item or missing unit? It physically can't be marked packed.

If stock is short or a SKU is unmapped, a gate explains it: a manager can override with a reason, or fix the stock first. Stock counts update automatically the moment an order is packed.

16:30 · pickup + dispatch close

Schedule pickup for the day's shipments (another background batch). When the courier van arrives, open Dispatch close and scan every parcel as it's handed over. The screen counts: expected, scanned, missing, unexpected. Close the batch at zero discrepancy, or the manager closes with a reason, and print/download the manifest.

Whatever was packed but not scanned out is now on tomorrow's Needs attention list. Nothing gets to quietly sit on a table.

Ongoing, automatically

  • Delivery statuses refresh from Shiprocket on a schedule; RTOs and delivered orders update themselves.
  • Returns and replacements are created and tracked from the order page.
  • COD remittances are matched against delivered orders when they arrive.
  • Every action (who confirmed, who packed, who overrode) is in the activity log, forever.
